TERMS & CONDITIONS
RC3E (Radio Control Events, Entertainment & Education)

These Terms & Conditions govern all bookings and services provided by RC3E (Radio Control Events, Entertainment & Education) ("RC3E", "we", "us", or "our"). By making a booking with RC3E, you ("the Client", "you", or "your") agree to be bound by these Terms & Conditions.

1. OUR SERVICES
RC3E delivers mobile radio-controlled (RC) entertainment and educational experiences at both indoor and outdoor venues, including:
-
Mobile RC racing experiences
-
Birthday party entertainment
-
School events and educational workshops
-
Corporate and team-building events
-
Community events and family fun days
-
Festivals, exhibitions and pop-up experiences
Services are provided at the location, date and time agreed during the booking process.

2. BOOKINGS & PAYMENT
2.1 Booking Confirmation
A booking is confirmed once:
-
The required deposit has been received; or
-
Full payment has been received where agreed in advance.
Once confirmed, the event date is reserved exclusively for your booking.
2.2 Payment Terms
Unless otherwise agreed in writing:
-
A non-refundable deposit of 25% of the total booking value is required to secure the booking.
-
The remaining balance will be invoiced following the event and must be paid within the payment period stated on the invoice.
2.3 Outstanding Payments
RC3E reserves the right to charge interest and recover costs associated with overdue invoices in accordance with applicable legislation.
Failure to pay outstanding balances may result in:
-
Suspension of future bookings;
-
Recovery action; and/or
-
Legal proceedings where necessary.

3. CANCELLATIONS & REFUNDS
3.1 Client Cancellations
The booking deposit secures your chosen event date and is non-refundable.
If you choose to cancel your booking:
-
More than 30 days before the event: No further payment is required. The deposit will be retained.
-
15–30 days before the event: The deposit will be retained and an additional 25% of the total booking value may become payable.
-
7–14 days before the event: The deposit will be retained and an additional 40% of the total booking value may become payable.
-
Less than 7 days before the event: The deposit will be retained and up to 50% of the total booking value may become payable.
-
Less than 72 hours before the event or failure to attend: The deposit will be retained and up to 75% of the total booking value may become payable.
These charges represent a genuine estimate of losses incurred by RC3E, including administration, staffing commitments, equipment allocation, preparation costs and the inability to accept alternative bookings for the reserved date.
3.2 Event Date Changes
We understand that circumstances can change.
-
All requests to change an event date must be submitted in writing.
-
Requests received more than 30 days before the event will be accommodated wherever reasonably possible, subject to availability.
-
Requests received within 30 days of the event may be treated as a cancellation and subject to the charges outlined above.
-
One date change may be permitted without charge at RC3E's discretion.
-
Additional date changes may incur an administration fee.
3.3 Cancellation by RC3E
In the rare event that RC3E must cancel due to circumstances beyond our reasonable control, including but not limited to:
-
Severe weather;
-
Unsafe site conditions;
-
Venue issues;
-
Equipment failure;
-
Staff illness; or
-
Other unforeseen circumstances,
RC3E will offer either:
-
A full refund of monies paid; or
-
An alternative event date, subject to availability.
No further compensation shall be payable.

4. HEALTH & SAFETY
The safety of participants, spectators and staff is our highest priority.
4.1 Supervision
All activities are supervised by RC3E staff.
Participants must follow all instructions, guidance and safety procedures provided during the event.
4.2 Participant Responsibilities
All participants must:
-
Behave responsibly and respectfully;
-
Follow instructions at all times;
-
Use equipment only as directed;
-
Act in a manner that does not endanger themselves or others.
4.3 Age Suitability
RC3E activities are generally suitable for participants aged 6 years and over.
Children under the age of 6 may only participate where:
-
A parent or legal guardian is present throughout the activity; and
-
The parent or legal guardian actively supervises the child at all times.
RC3E reserves the right to refuse participation where, in our opinion, participation may be unsafe or unsuitable.
4.4 Right to Refuse Participation
RC3E reserves the right to remove or refuse participation without refund where an individual:
-
Behaves in a dangerous manner;
-
Poses a risk to themselves or others;
-
Uses abusive or inappropriate behaviour;
-
Fails to follow instructions from RC3E staff.

5. EQUIPMENT USE
5.1 Ownership
All RC vehicles, racing equipment, tracks, barriers, timing systems and associated equipment remain the property of RC3E at all times.
5.2 Proper Use
Participants must use all equipment safely and in accordance with instructions provided by RC3E staff.
5.3 Damage to Equipment
Normal wear and tear is expected.
However, deliberate, reckless or negligent damage caused by participants may result in charges for repair, replacement or loss of equipment.

6. LIABILITY
6.1 Public Liability Insurance
RC3E maintains appropriate Public Liability Insurance for the services we provide.
Proof of insurance can be supplied upon request.
6.2 Limitation of Liability
Participation in RC activities involves an element of risk.
To the maximum extent permitted by law, RC3E shall not be liable for:
-
Injury resulting from misuse of equipment;
-
Failure to follow safety instructions;
-
Undisclosed medical conditions;
-
Indirect or consequential losses;
-
Loss of enjoyment due to circumstances beyond our reasonable control.
Nothing in these Terms excludes liability where such exclusion is prohibited by law.
6.3 Personal Property
RC3E accepts no responsibility for:
-
Lost property;
-
Stolen property;
-
Damage to personal belongings during the event.
Participants attend and participate at their own risk.

7. VENUE REQUIREMENTS
The Client is responsible for ensuring that the venue:
-
Provides sufficient space for safe operation;
-
Is safe and suitable for the planned activities;
-
Has all necessary permissions, licences and approvals in place;
-
Complies with any applicable venue rules and requirements.
7.1 Access
Clear and safe access must be available for:
-
Equipment delivery;
-
Event setup;
-
Pack-down and collection.
7.2 Power Supply
Where required, access to a suitable power supply must be arranged and agreed in advance.

8. INDOOR & OUTDOOR EVENTS
RC3E operates at both indoor and outdoor venues.
For outdoor events, weather conditions may affect operations.
RC3E reserves the right to modify, suspend, postpone or cancel activities where conditions present a risk to safety, including:

Heavy rain;
-
High winds;
-
Lightning;
-
Flooding;
-
Extreme temperatures;
-
Unsafe ground conditions.
Where possible, RC3E will work with the Client to provide an alternative solution, including rescheduling or relocating the event.

9. PHOTOGRAPHY & MEDIA
RC3E may take photographs and videos during events for:
-
Marketing;
-
Advertising;
-
Social media;
-
Website content;
-
Promotional materials.
If you do not wish to appear in photographs or videos, you must notify RC3E in writing before the event.

10. INSURANCE
RC3E maintains:
-
Public Liability Insurance;
-
Suitable risk assessments;
-
Appropriate health and safety procedures.
Copies of insurance documentation are available upon request.

11. FORCE MAJEURE
RC3E shall not be liable for delays, interruptions or failure to deliver services due to events outside our reasonable control, including:
-
Severe weather;
-
Illness;
-
Venue closures;
-
Government restrictions;
-
Transport disruption;
-
Utility failures;
-
Natural disasters; or
-
Other force majeure events.

12. CHANGES TO BOOKINGS
Any changes to bookings must be requested in writing.
While every effort will be made to accommodate requests:
-
Changes are not guaranteed;
-
Availability may be limited;
-
Additional charges may apply.

13. GOVERNING LAW
These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales.
Any disputes arising under these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
